Sponsorship Proposal Template For Your Event

Regarding my last post on How to get a venue sponsorship for your business/brand event. Few people commented and emailed me requesting for the sponsorship proposal template, although I previously did a poll on Instagram asking if people wanted it. Even though the highest answer was No, I have decided to still put up one for the minorities who voted Yes, people who took time out to comment and email me. So, here you go:


Subject: Request for sponsorship

Dear XXXXX [Preferably the actual name of the venue manager/owner],

My name is XXXXXX [Full name], from XXXXXXX [Your company name], a XXX [Explain what your company/business is about]. – (2 – 3 sentences)

It is our pleasure to inform you that XXXXXXX [Name of company] will be organising an XXXXXXX [What is the event?] in XXXXXXXXX [Month – Since you don’t have a venue yet]. This event aims to XXXXXXXXX [What is the aim of the event?]. The XXXXX [Name of event] event is expected to welcome XXXXX [Numbers of attendees] amount of XXXXXXX, XXXXXXX & XXXXXXXXX [Types of attendees. E.g: bloggers, celebrities & media partners  as XXXXX(Name your media partners name)]. The event is expected to last for a period of XXXX hours, starting from around XXXXX O’clock till XXXXX O’clock. During this time, there will be XXXXXXX & XXXXXXX served to the attendees [Mention if there will be food and drinks or general – refreshment].

Although, our team has been working really hard on this project, however, we are still yet to get a venue which is the main reason we are contacting you today. We believe working on this event with you as our venue sponsor will be a profitable collaboration for both parties. Approval to use your venue for our upcoming event will not only help us bring our plans into reality but also help you boost your brand awareness amongst our audience which matches your target consumer [It is important to approach brands that have similar audience to your target audience too for mutual benefit].

Apart from exposing your venue to our audience who could be your potential customers. We will also promote your brand as an official sponsor of our XXXXXXX, XXXXXX, XXXXX & XXXXXXXX [Name other platforms you will promote them. E.g: Official website, Instagram, Twitter & Facebook (Do not mention without actually doing it, you will be quoted for it, your business reputation is on the line + you might just look very unprofessional)] with an overall of over XXXXXX followers [Optional – You can mention the overall amount of followers you have on these platforms altogether].

We hope this offer interest you and do not hesitate to ask for more information regarding this collaboration.

IMPORTANT:

  • Hope you noticed I used “WE” rather than “I” – It portrays you more as a company than an individual 
  • You won’t get a response back from everyone. So, the more proposal you send, the more chances you have of getting a response.
  • Personalise all proposal – NEVER SEND A BULK E-mail. DO NOT Cc or Ccb many emails [SEND INDIVIDUALLY]
  • Advisable to send a follow-up e-mail few days after [After 3/4 days]
  • This is just a template to give you an idea of what and what to include. Of-course, feel free to make it your own by taking things out and adding more things to it.
